Terms of Use and Data Collection

This Privacy Policy explains how Sphynx, a product of HarmonizeOps LLC, collects, uses, and protects your information when you use our browser extension and related services.

Definition of Scrolls

For the purposes of this Privacy Policy, “scrolls” refer to user-created content including prompts, instructions, templates, and associated metadata such as titles, categories, and tags that users create and store within the Sphynx application. Scrolls represent the primary user-generated content that Sphynx is designed to help users organize, store, and manage.

Data Collection and Usage

What We Collect

• Scroll Data: Your scrolls and associated content are stored locally using end-to-end encryption
• Technical Information: Minimal browser information necessary for debugging purposes, including:
  • Browser type and version
  • Extension version
  • Error logs and performance metrics
  • Usage statistics (aggregated and anonymized)
• Advertising Data: When using our mobile app with a free account, we may collect the following data through Google AdMob for advertising purposes:
  • Device identifiers (IDFA, Android Advertising ID)
  • IP address and approximate location
  • App usage data and interactions
  • Device information (model, operating system)
  • Advertising interaction data

  Note: Pro and Guild account users do not see advertisements and therefore no advertising data is collected for these account types.

What We Don’t Collect

• Personal identifying information (name, email, phone number)
• Browsing history outside of extension usage
• Content of your scrolls in readable format on our servers
• Precise GPS location data (only approximate location via IP address for ads)
• Third-party website data beyond advertising interactions
• Sensitive personal information (health, financial, biometric data)

Note: While we don’t collect personal identifying information directly, our advertising partner (Google AdMob) may collect device identifiers and usage data for free account users only, as described in the Advertising and AdMob Integration section above. Pro and Guild account users do not see advertisements and therefore no advertising data is collected.

Advertising and AdMob Integration

Account-Based Advertising

Free Accounts: Our mobile application integrates Google AdMob to display advertisements to users with free accounts. AdMob is a mobile advertising platform that helps us provide our services while supporting our business model for free users.

Pro and Guild Accounts: Users with Pro or Guild subscriptions do not see advertisements and therefore no advertising data is collected for these account types.

Google AdMob Services (Free Accounts Only)

The following information applies only to users with free accounts who may see advertisements.

Data Collected by AdMob (Free Accounts Only)

When you use our mobile app with a free account, AdMob may collect the following information:

• Device Information: Device identifiers, model, operating system version, and hardware specifications
• Location Data: Approximate location based on IP address (not precise GPS location)
• Usage Data: How you interact with advertisements, app usage patterns, and performance metrics
• Advertising Identifiers: IDFA (iOS) or Android Advertising ID for personalized advertising
• Network Information: IP address, carrier information, and connection type

Purpose of Data Collection

AdMob collects this data to:

• Display relevant advertisements to users
• Measure ad performance and effectiveness
• Prevent fraud and ensure ad quality
• Provide analytics and reporting to app developers
• Comply with advertising industry standards

Third-Party Data Sharing (Free Accounts Only)

Data collected through AdMob for free accounts may be shared with:

• Google and its advertising partners for ad delivery and measurement
• Advertisers and advertising networks for campaign optimization
• Analytics providers for performance measurement
• Fraud prevention services to maintain ad quality

User Control and Opt-Out Options (Free Accounts Only)

Free account users have several options to control advertising data collection:

• iOS Users: You can opt out of personalized ads in Settings > Privacy & Security > Apple Advertising > Personalized Ads
• Android Users: You can opt out in Google Settings > Ads > Opt out of Ads Personalization
• App Tracking Transparency: iOS users will be prompted to allow or deny tracking when first launching the app
• AdMob Settings: You can manage your advertising preferences through Google’s Ad Settings

Data Protection and Security

End-to-End Encryption

All scroll content is encrypted using industry-standard encryption before storage. Your scroll content remains encrypted and is only decryptable on your device with your encryption keys.

Scroll Metadata Handling

While scroll content is encrypted in the database, SPHYNX does not encrypt scroll titles, categories, or tags. This unencrypted metadata is collected for two specific purposes:

• Feature Development: Anonymized analysis of tags and categories helps inform future feature development and product improvements
• User Troubleshooting: In extreme cases, scroll titles may be accessed to understand and resolve technical issues

Important: This metadata is never exposed outside of our secure database environment and will never be used for direct marketing purposes or sold/offered to third parties.

Data Anonymization

Any technical data that reaches our systems is automatically anonymized before being logged. This ensures that debugging information cannot be traced back to individual users.

No Data Sharing or Sale

We do not, and will never:

• Share your data with third parties
• Sell your personal information or scrolls
• Use your scrolls for advertising purposes
• Allow external access to your encrypted content

Your Rights and Control

Data Ownership

You retain full ownership and control of all scrolls and content you create or store using our extension.

Data Deletion

You may delete your stored scrolls at any time through the extension interface. Deletion is permanent and irreversible.

Access and Portability

You can export your scrolls and associated data at any time through the extension’s export functionality.

Technical Specifications

Storage Options

Local Storage: Primary data storage occurs locally on your device for immediate access and privacy.

Cloud Storage: We offer optional cloud storage of your scrolls to enable synchronization across devices. All cloud-stored scrolls maintain the same end-to-end encryption standards as local storage, ensuring your data remains secure and private even when stored on our servers.

Advertising SDK Integration (Free Accounts Only)

Google AdMob SDK: Our mobile application integrates the Google AdMob SDK to display advertisements to free account users only. The SDK collects device and usage information as described in our Advertising and AdMob Integration section.

App Tracking Transparency (iOS): For iOS users with free accounts, our app implements Apple’s App Tracking Transparency framework, which requires user consent before accessing the device’s advertising identifier (IDFA) for tracking purposes.

GDPR Compliance: For free account users in the European Economic Area (EEA) and United Kingdom, we implement Google’s Consent Management Platform (CMP) to ensure compliance with GDPR requirements for advertising data collection.

Debugging Data Retention

Anonymized debugging data is retained for a maximum of 90 days for troubleshooting and improvement purposes, after which it is automatically purged.

Advertising Data Retention (Free Accounts Only)

Advertising-related data collected through AdMob for free accounts is subject to Google’s data retention policies. Generally, this data is retained for up to 2 years for advertising and analytics purposes, after which it is automatically deleted or anonymized. Pro and Guild account users have no advertising data retention as they do not see advertisements.

Updates to Terms

We may update these terms to reflect changes in our practices or for legal compliance. Material changes will be communicated through the extension update mechanism or our official communication channels.
